Fans, unit coolers and condensing packs are bulky and light. Containers fill up on volume long before they reach a weight limit, which is why freight is a far bigger share of landed cost here than buyers expect.

An estimate for comparing options. Freight rates move constantly, duty depends on the exact HS classification and origin, and packing efficiency depends on the actual carton design — confirm all three before committing.

Cubing out versus weighing out

A 40 ft high cube holds roughly 68 m³ of packed goods and about 26 tonnes. Anything below roughly 380 kg per cubic metre fills the space before it reaches the weight limit — and most HVACR equipment sits far below that. Axial fans, unit coolers and cased ventilation units commonly run 80–150 kg/m³, which means you are paying to ship air.

Carton size is a price negotiation

When a shipment cubes out, every centimetre of carton is money. Removing packaging air, nesting components, shipping fan guards separately or specifying a knock-down carton often takes 10–20% off the volume — which cuts the freight share of landed cost by the same proportion. That is frequently a larger saving than any realistic discount on the unit price, and suppliers will usually engage with it because it costs them nothing.

Duty is normally charged on CIF, not on the goods

Most customs regimes assess duty on goods plus freight plus insurance, not on the invoice value alone. That means freight is taxed too, and a cheap unit price shipped expensively can land higher than a dearer unit shipped efficiently. Compare quotes on landed cost per unit — never on EXW price.

Incoterms decide who carries which of these lines

EXW means every line below the goods is yours, including inland haulage in the origin country. FOB moves origin costs to the supplier. CIF adds ocean freight and insurance. DDP puts duty and clearance on the supplier too. Two quotes are not comparable until they are restated on the same term.

How many units fit in a container?
Divide the usable container volume by the packed carton volume — roughly 28 m³ for a 20 ft, 58 m³ for a 40 ft and 68 m³ for a 40 ft high cube after allowing for stacking losses. For dense goods, check the payload limit as well; for typical HVACR equipment, volume runs out first.
Why is freight such a large share of HVACR landed cost?
Because the equipment is bulky and light. A container of fans or unit coolers reaches its volume limit at a fraction of its weight capacity, so the freight cost is spread over relatively few kilograms of product. It is common for freight to be 15–30% of landed cost on this kind of equipment.
Should I compare suppliers on EXW price?
No. Different Incoterms, different carton sizes and different duty treatment can easily reverse the ranking. Restate every quote as landed cost per unit at your door before comparing — that is the only number that decides which is actually cheaper.
